Privacy Policy
OurClassMate is operated by MoveOnline Digital in Ghana. This policy explains what personal data we collect, why, who can see it, and the rights you have. We handle personal data in line with the Data Protection Act, 2012 (Act 843) of Ghana.
1. Who is responsible for your data
For the member records an association keeps (who its members are, what they contribute, what they post in the association), the association is primarily responsible for deciding what is collected and why; we process that data on its behalf to run the Service. For the accounts, sign-in security, billing and operation of the platform itself, we are responsible.
2. What we collect
- Account details: name, email address, phone number, password (stored only in hashed form), and sign-in activity.
- Association registration details: association and school name, location, the administrator's contact details, branding, and the plan chosen.
- Member profile information entered by you or by your association: for example class, house, photo, occupation and industry, contact details, and what you choose to share in the directory.
- Contributions and payments: amounts, dates, receipts and references. When you pay by mobile money we receive your mobile money number and network so the payment can be requested from you. We do not store card details; payments are handled by our payment provider.
- Content you post: messages, announcements, statuses, images, voice notes and attachments in chats and association spaces.
- Technical data: device and browser information, IP address and logs, used to keep the Service secure and working, and push notification tokens if you turn notifications on.
3. How we use it
- To provide the Service: memberships, member IDs, contributions, receipts, elections, chat and calls.
- To take and confirm payments and keep financial records.
- To send service messages such as receipts, invitations, verification and security notices, and notifications you have enabled.
- To keep the Service secure, prevent fraud and abuse, and fix problems.
- To meet legal and accounting obligations.
4. Who can see your data
- Your association. Its administrators and, depending on your privacy settings and roles, other members can see the profile and contribution information held in that association. Another association cannot see it.
- Service providers that help us run the platform, such as payment processing, hosting and storage, email delivery, push notifications and call infrastructure. They may use the data only to provide their service to us.
- Authorities, where we are required by law or to protect rights and safety.
We do not sell personal data.
5. Keeping it safe
Associations are kept separate from one another, passwords are hashed, and receipts and sensitive files are stored privately. No system is perfectly secure; if a breach affects your data we will tell you and the relevant authority as the law requires.
6. How long we keep it
We keep personal data while your account or your association's workspace is active, and afterwards for as long as needed to meet legal, accounting and dispute-resolution needs. Financial records such as payments and receipts are kept for the period the law requires.
7. Your rights
You may ask to see the personal data we hold about you, to correct it, to object to certain uses, or to have it deleted where we no longer need it. Much of your profile can be edited or hidden in the app. For anything else, or for data an association holds about you, write to onboard@ourclassmate.com with the name of the association; we will reply within a reasonable time. You may also complain to Ghana's Data Protection Commission.
8. Children
The Service is for adults who have left school. We do not knowingly collect data from children; if you believe we have, contact us and we will remove it.
9. Changes
We may update this policy. The date above shows the latest version, and we will notify association administrators of material changes.
